The main roles of each committee member consist of the following:
CHAIRPERSON
The chair is a key figure in the organisation, and their responsibilities include:
- Regular attendance at meetings.
- Planning and preparation, with Secretary.
- Conducting meetings efficiently, and controlling discussion without monopolising it.
- Making sure that everyone has the chance to air his or her views.
- Making sure the purpose of the meeting is clear, and that it is achieved.
- Making sure the meeting keeps on time.
- Making sure the meeting is properly recorded by the Secretary.
SECRETARY
There are two main parts to the Secretary’s role: organising meetings and dealing with correspondence.
Organising Meetings:
It is important for the Chair and Secretary to work together to plan and prepare for meetings. When organising meetings the Secretary has four main roles:
- To book and prepare the layout of the meeting room.
- To make sure that all the rules for calling meetings are followed in line with the group’s constitution, e.g. length of notice needed before meetings are held.
- To prepare an agenda for each meeting (this should be done with in consultation with the Chair), and to make sure copies are available for people attending the meeting.
- To take notes or minutes of the meeting and file and store minutes of previous meetings.
Dealing with correspondence:
This involves:
- Setting up basic information storage systems, to file correspondence under appropriate headings. It is also very important to inform other group of members about correspondence received, so the committee can decide what action to take.
- Producing and sending out publicity and information about organisation, and replying to correspondence. Again, it is important to discuss with other group members how to provide publicity and information.
PUBLICITY OFFICER
The main role of the Publicity Officer is to be responsible for producing and distributing publicity material.
This includes:
- Leaflets.
- Newsletters.
- Posters to advertise events or regular activities.
The Publicity Officer is also be responsible for
identifying local contacts who will distribute and
display your publicity material.
This includes:
- Local shops
- Offices
- Local Council buildings
- Health Centres
- Youth Clubs
- Libraries
- Community Centres
The Publicity Officer`s role also includes making contacts with local newspapers and producing press releases about any events your group plans to hold.
TREASURER
The main duties of the Treasurer involve:
- Preparing budgets.
- Overseeing all financial transactions, e.g. paying bills, banking money and issuing receipts.
- Keeping accurate records of all financial incomings and outgoings (money coming in and money being paid out).
- Giving regular reports to the management committee and members.
- Preparing the group’s Annual Accounts, which will then be passed on to an auditor or independent examiner.
- Presenting Annual Accounts to the Annual General Meeting.
The Treasurer may also:
- Co-ordinate fundraising activities and prepare a fundraising strategy.
- Prepare funding applications.
- Keep records of any funding grants received and
ensure this money is spent on the items for which
it was given.
